Job Description
We Got This Canada is searching for an organized self-starter to be our new Operations Assistant. The Operations Assistant’s responsibilities include reporting directly to the CEO of the organization and fulfilling the CEO’s duties in their absence. The Operations Assistant will also be well-versed in internal operations, take minutes at meetings, forward and distribute mail as required, and prepare and file relevant documents.
To be successful in the role, the Operations Assistant should possess excellent communication skills and be able to juggle multiple tasks. Top candidates will have strong organizational, critical thinking, and interpersonal skills.
ROLES AND RESPONSIBILITIES:
- Provide high-level administrative support
- Manage executives’ calendars, set up meetings and act as a liaison between the CEO, and all company departments.
- Help prepare for meetings and take minutes during meetings.
- Ensure executive is kept abreast of critical and time sensitive matters.
- Promptly answer questions from all stakeholders and manage information flow in a timely and accurate manner.
- Independently draft professional correspondence including formatting information for internal and external communication – memos, emails, presentations, reports.
- Maintain a large database of personal contacts and ensure contacts are updated.
- Handling basic bookkeeping tasks. Reconciling executive expense reports and receipts with accounts payables
- Use of various software, including word processing, spreadsheets, databases, and presentation software.
- Analyze operations and forward any suggestions for improvement to the CEO
- Provide general administrative support.
Qualifications and Education Requirements
- High school diploma or equivalent is required
- Relevant post-secondary education is desired
Skills & Competencies:
- A calm and grounded attitude during high stress situations
- Proven experience as an executive assistant or other relevant administrative support experience.
- In-depth understanding of entire MS Office suite and Google suite
- Professional level verbal and written communications skills.
- Very strong organizational skills and extreme attention to detail
- High EQ to build connections and understand the needs of the executives you are supporting
- Previous experience in a similar role is desired
- Excellent written and verbal communication skills
- Excellent organizational skills
- Outstanding interpersonal skills
- Experience in a non-profit environment is an asset
